Privacy Policy

The Aquatic BioGX Initiative (a general incorporated association in Japan; "we") handles personal data of visitors to this website (bio-gx.org) in line with the EU General Data Protection Regulation (GDPR) and Japan's Act on the Protection of Personal Information (APPI).

Effective: 8 November 2026

1. Controller and contact

The controller of your personal data is the Aquatic BioGX Initiative. For questions about your data or to exercise your rights, contact office@bio-gx.org.

2. What this site does not do

This site does not identify or track visitors.

  • No cookies, localStorage or other storage in your browser.
  • No analytics, advertising, social-media embeds or externally hosted fonts.
  • No input forms.

That is why there is no cookie-consent banner. If we ever add any of these, we will update this policy first and ask for consent where required.

3. Data we handle, purposes and legal bases

(1) Server access logs
To deliver the site, the hosting provider's servers may record your IP address, browser type, time of visit and the URL requested. The purposes are delivering the site, troubleshooting and protecting it against abuse. The legal basis is our legitimate interest in running a secure and reliable website (GDPR Art. 6(1)(f)). We do not use this information to identify individuals.

(2) Email enquiries
If you email office@bio-gx.org, we handle the information you send, such as your name, organisation, email address and message. The purposes are answering your enquiry and handling membership requests. The legal bases are steps taken at your request before entering into a contract (Art. 6(1)(b)) and our legitimate interest in responding to enquiries (Art. 6(1)(f)).

4. Processors

This site is hosted by Cloudflare, Inc. Access logs are handled under the Cloudflare Privacy Policy. Email is handled through the email service provider we use. We do not sell personal data or share it with third parties for advertising.

5. International transfers

We are based in Japan. The European Commission has recognised Japan as providing an adequate level of protection for personal data (Decision (EU) 2019/419), and transfers from the EU to us rely on that decision. Processing by the hosting provider outside your country follows the safeguards set out in its privacy policy.

6. Retention

We keep enquiry emails only as long as needed to handle them and as required by law, and then delete them. Access logs are deleted according to the hosting provider's retention periods.

7. Your rights

You have the right to:

  • access your personal data;
  • have it corrected;
  • have it erased;
  • restrict its processing;
  • data portability;
  • object to processing based on legitimate interests.

Contact office@bio-gx.org. After verifying your identity, we will respond within the period set by law (as a rule, within one month under the GDPR). You may also lodge a complaint with the supervisory authority in your country.

8. Links to other websites

This site links to external websites, such as event registration pages and cited references. Their handling of personal data is governed by their own policies.

9. Changes

We may update this policy when needed. Significant changes will be announced on this page.
